Selections & records / 3 MIN READ

Keep the picture and the selection details together

Photographs help a conversation. A useful selection record also connects the reference, open questions and the decision that follows.

Give each option a clear reference

During a showroom visit, many options can look similar later in a phone gallery. Keep a short reference for each option, with its room or intended use. A wide photograph can show context; a closer view can record the feature being discussed.

A photograph alone does not establish a specification. Keep the image alongside the written item information and identify any questions still awaiting confirmation. Where a physical sample is involved, make its relationship to the option clear.

Separate a comparison from an approval

An option being discussed and an order being approved are different points in a project. Record the state of the choice so everyone can follow what is being compared and what requires a decision.

  • The room, item reference and version of the selection being discussed.
  • The dimensions, finish and other item information to be confirmed.
  • The questions still open and the person coordinating the next response.
  • The written decision and any later change to the selected option.

Agree how the next update will work

Discuss the purchasing stages and reporting rhythm for the agreed service. A useful update keeps the current decision, outstanding questions and next action together, rather than relying on a disconnected stream of messages.

The visit archive on this site shows observed activities from separate sourcing visits. It is different from a full project report. The reporting format, contents and responsibilities should be agreed for each engagement; they are not established by a showroom photograph.
